Many owners of our managed apartments do not live in Berlin. Some live in another German city, others abroad. For them, management of residential property means more than the outsourcing of a few administrative tasks.
You need a local contact person who knows what is happening in the flat, classifies events and makes it clear when a decision is necessary.
If the owner is not on site
Distances change the requirements for property management.
What might be discussed with a Berlin-based owner in a brief meeting must be documented and explained clearly for an owner abroad. Depending on the process, this includes photographs, paperwork and a concrete recommendation for action.
With international owners, additional factors come into play. Different languages and time zones play a role, as do varying experiences with tenancy management and condominium ownership in Germany.
Information must therefore be available digitally, be understandable and transparent. At the same time, the owner must be able to trust that someone is looking after their property on site.
Being digital alone does not mean efficient
Many processes in property management are now digital. However, a cumbersome process does not automatically become better just because paper is no longer used.
That is why at Black Label Property Management we are constantly checking where information is recorded multiple times, which routine tasks take up unnecessary time, and which work steps can be sensibly simplified or automated.
The goal is not digitalisation for its own sake. The decisive factor is whether a process actually becomes faster, more transparent and more reliable as a result.
Where artificial intelligence can assist
Artificial intelligence can also play a role in this. For example, it can structure information from documents, summarise extensive cases or prepare recurring work steps.
That saves time – but it doesn't replace the actual administrative work.
Because a system can process information. The decision on how to deal with a specific case requires experience and knowledge of the respective property. This applies in particular to difficult situations with tenants, owners or within an owners' association.
Individual advice, decision-making and personal communication therefore remain the task of humans.
More time for owners
Efficient digital processes and AI can speed up routine tasks and make information available more quickly. This leaves more time to explain contexts, answer questions and deal with the specific situation of a property.
What matters is not how digital an administration operates, but what reaches the owner: comprehensible information, a need for action identified early on, and a contact person who takes care of things. Digitalisation does not replace personal support – it creates more room for it.
